Summary Description Of Duties: Performs all administrative and clerical duties for the Director of Planning and Land Use Management/Town Planner, Assistant Town Planner, and Zoning Enforcement Officer. Work involves preparation of materials for Boards and Commission meetings; preparation of legal notices; responding to public inquiries; answering telephones and providing information and/or directing caller to appropriate parties; processing invoices and purchase orders; typing; filing; word processing; and performing related duties as assigned or required.

Job Location And Equipment Used: Work is performed primarily in the office.

Office work involves the use of Town computers, document scanner, telephone, calculator, dictating equipment, photocopier, fax machine, and postage machine.

Essential Functions:

- Provides administrative support for the following: Director of Planning and Land Use Management/Town Planner, Assistant Town Planner, and Zoning Enforcement Officer;

- Serves as receptionist for Planning and Zoning department, answering routine inquiries through in person, telephone and email contact;

- Makes appointments, types and processes all office correspondence, invoices, purchase orders and vouchers, using a Town computer;

- Takes, prepares and distributes meeting agendas and minutes for Land Use boards/commissions;

- Performs all routine administrative and clerical functions with minimal supervision;

- Sets up new purchase orders in ERP system, as directed, and processes any changes as needed. Processes all invoices to be paid and researches when necessary. Maintains petty cash envelope;

- Prepares and verifies timesheets for Planning and Zoning Department and sends to Finance for processing;

- Maintains effective filing and file retrieval system on Town network, Town computer and in paper format. Scans departmental documents and organizes/maintains in electronic files on Town network and Town computer;

- Assists in budget preparation for the department and maintains electronic paper records of expenditures;

- Assists with Zoning permitting process. Processes permits and payments in computerized system;

- Accepts and processes fees and issues receipts for applications;

- Assists with site work process followed by various land use departments; and

- Performs related duties as necessary and appropriate.

Required Knowledge, Abilities And Skills:

- Knowledge of and ability to apply modern office practices and procedures;

- Knowledge of and ability to use computers and software applications including word processing, electronic spreadsheet, database programs, and ERP systems;

- Ability to work effectively on several projects simultaneously;

- Ability to provide accurate responses to public inquiries;

- Ability to establish and maintain effective and cooperative work relationships with other employees and Town departments; and

- Ability to transcribe meeting minutes from electronic recordings.

Minimum Requirements:

- High School Diploma required with post high school education (college/business school) preferred;

- Knowledge of and ability to use computers and software applications including word processing, electronic spreadsheet, and database programs; and

- A minimum of two years relevant administrative experience with computer skills.

Special Conditions:

- Successful passage of a post-offer, pre-employment physical, including tests for drugs, may be required as a condition of employment with the Town of Wilton and

- The employee shall not constitute a threat to his/her own health or safety or that of others in the workplace.
